Room Rate
The Room Rate configuration page allows you to create, update, delete, and activate room rates for different room types. This feature helps you manage pricing, special rates, and corporate contracts efficiently.
What is a Room Rate?
A Room Rate defines the price for a specific room type, subcategory, company, or market, and can include various options such as date ranges, extra charges, and notes. Room rates can also be mapped to channel managers for online distribution.
How to Add a Room Rate
- In the Tools menu, click the Configuration submenu, select the Front Desk tab, then click the Room Rate button to open the window.
- Click the Insert button to add a new room rate. A new entry window will appear.
- Enter the following data:
- Code
- Name
- Room Type
- Sub Category
- Company
- Market
- Range Date
- Sort
- Room Rate
- Extra Charge
- Rate Available
- Note
- CM Inv Code (for channel manager mapping)
- CM Stop Sell (check to deactivate in channel manager)
- Click Save to store the new room rate, or Close to cancel.
How to Update a Room Rate
- In the Tools menu, click the Configuration submenu, select the Front Desk tab, then click the Room Rate button.
- Select the room rate you want to update, then click the Update button.
- Enter the new data as needed.
- Click Save to apply the changes, or Close to cancel.
How to Delete a Room Rate
- In the Tools menu, click the Configuration submenu, select the Front Desk tab, then click the Room Rate button.
- Select the room rate you want to delete, right-click, and choose the Delete button.
- A confirmation dialog will appear.
- Click Yes to confirm deletion, or No to cancel.
Adding Room Rate Breakdown
If a room rate includes a breakdown, follow these steps:
- Select the room rate you want to add a breakdown to.
- Click the Insert Breakdown button (plus icon) in the Data Room Rate group. The Room Rate Breakdown Editor window will appear.
- Enter the following data:
- Outlet (if the package belongs to a specific outlet)
- Product (if the package is based on a product; Sub Department and Account will auto-fill)
- Account (if based on an account), then select Sub Department
- Quantity (default is one; uncheck Per Pax to change)
- Amount (value or price)
- Include Child (check if applicable)
- Charge Freq. (posting method for folio)
- Maximum Pax (enter extra amount and price for additional pax if needed)
- Click Save to finish.
- Repeat step 2 to add more items if needed.
Note: The total value of the Room Rate Breakdown must not be equal to or exceed the total room rate value.
Adding Business Source to Room Rate
If the room rate is a contract rate for a company, you can add business sources:
- Select the room rate to which you want to add a business source.
- Click the Insert Business Source button (plus icon) in the Room Rate data. The Room Rate Business Source Editor window will appear.
- Enter the following data:
- Business Source (company)
- Commission Type
- Commission Value
- Click Save to finish.
- Repeat step 2 to add more companies if needed.
Commission Type Options
- Percent of First Night (Full Rate): Commission is a percentage of the full first night rate.
- Percent Per Night (Full Rate): Commission is a percentage of the full rate for each night.
- Fix Amount of First Night: Commission is a fixed amount deducted from the first night only.
- Fix Amount Per Night: Commission is a fixed amount deducted for each night.
Adding Currency to Room Rate
To input room rates in other currencies:
- Select the room rate to which you want to add a currency.
- Click the Insert Currency button (plus icon) in the Room Rate data. The Room Rate Currency Editor window will appear.
- Select the currency type.
- Enter the exchange rate value.
- Click Save to finish and close the window.
